Seller Frequently Asked Questions

Everything you need to know about selling your assets through Cal Auctions — from first call to final payment.

Getting Started

Cal Auctions handles an exceptionally broad range of assets across two primary categories:

  • Estate & Collectibles: Antiques, art, jewelry, furniture, vintage items, collectibles, household contents, vehicles, and personal property of all kinds.
  • Commercial, Industrial & Government: Office furniture and equipment, restaurant equipment, manufacturing machinery, IT and technology assets, retail inventory, government surplus, warehouse equipment, party rental inventory, and more.

We've successfully auctioned everything from fine art and gold coins to excavators and performing arts school equipment. If you're unsure whether your items qualify, contact us for a free consultation — we'll give you an honest assessment.

Cal Auctions works with a wide range of sellers, including:

  • Private individuals — estate liquidations, downsizing, or simply clearing out unwanted property
  • Businesses — liquidating surplus inventory, relocating, or closing operations
  • Government agencies — surplus and decommissioned asset disposal
  • Bankruptcy trustees and attorneys — court-ordered liquidation of estate assets
  • Landlords — abandoned property situations
  • Institutions and nonprofits — equipment upgrades, closures, or fundraising liquidations

No matter your situation, we have a selling approach tailored to fit your specific needs and timeline.

There is no strict universal minimum. Cal Auctions works with both single high-value items and large multi-lot collections. However, to ensure an auction is economically worthwhile for you, we do a quick assessment of your inventory during the initial consultation to help determine the best approach.

For smaller collections, we may recommend combining your items with another auction event, or we can advise on whether a bulk sale or alternative approach is more suitable. Our goal is to maximize your return — and that starts with honest, upfront guidance.

Cal Auctions is headquartered at our 5,000 sq. ft. warehouse in San Diego, California, and primarily serves the greater Southern California region for on-site and full-service auctions. Our online auction platform, however, reaches a nationwide audience of buyers, giving your assets maximum exposure regardless of where they are located.

We can conduct on-site auctions at your location (home, business, or facility) or transport items to our San Diego warehouse for cataloging and sale. Contact us to discuss logistics for your specific location.

The Auction Process

Our process is designed to be as straightforward and hands-off as possible for sellers:

  • Step 1 – Free Valuation & Consultation: Submit your items via our online seller form or call us directly. We review your inventory and recommend the best selling approach.
  • Step 2 – Seller Agreement: We review a simple seller contract outlining commission structure, terms, and responsibilities.
  • Step 3 – Cataloging & Photography: Our team professionally photographs, describes, and categorizes every item to maximize bidder interest.
  • Step 4 – Marketing & Promotion: Your auction is promoted across our buyer database, social media, email campaigns, and auction listing platforms to drive competitive bidding.
  • Step 5 – Online Bidding: Bidders from across the country compete online, driving prices to their true market value.
  • Step 6 – Buyer Pickup & Payment Collection: We manage all buyer interactions, scheduling, and payment collection.
  • Step 7 – Seller Payment: You receive your proceeds, typically within a few weeks of auction close, along with a full itemized accounting report.
"From my first meeting with the owner, Jason, and his right-hand man, Alex, my experience was wonderful." — Verified Seller Review, Yelp

We understand that every seller's situation is unique. That's why we offer four flexible selling models:

  • Full-Service: We manage every aspect — item pickup, cataloging, marketing, buyer transactions, and removal. All you have to do is cash the check. Ideal for estates, busy professionals, or anyone wanting a fully hands-off experience.
  • Self-Supervised: Business clients prepare their own inventory and manage on-site inspection and buyer removal, while we handle marketing and the online auction platform.
  • Bulk Sale: Want everything sold in one fast transaction? We find a single qualified buyer for the entire lot — ideal when speed is the top priority.
  • Super Seller / Affiliate Program: Selling regularly? Join our affiliate program to gain ongoing access to thousands of active buyers and streamlined auction operations.

Timelines vary based on the volume of items, the selling approach chosen, and current scheduling. In general:

  • Initial consultation and valuation can often be completed within a few business days of your inquiry.
  • Cataloging and setup typically takes one to two weeks, depending on the size of the collection.
  • Auction duration is typically one to two weeks of active online bidding.
  • Buyer removal and seller payment generally follow within two to three weeks of auction close.

For clients with urgent timelines — such as estate deadlines, lease expirations, or business closures — we work to accommodate accelerated schedules wherever possible. A bulk sale is also available for the fastest possible outcome.

Yes. Cal Auctions can run auctions directly at your location — whether that's a private residence, commercial facility, warehouse, or institution — or we can transport items to our 5,000 sq. ft. San Diego warehouse for cataloging and sale. The right approach depends on the nature and volume of your assets, your timeline, and logistical considerations. We'll recommend the most effective option during your consultation.

Fees & Financials

Cal Auctions operates on a commission-based model, meaning we earn a percentage of the total auction proceeds — so our incentive is always aligned with yours: maximizing the sale price of your items.

Commission rates vary based on factors including the type of assets, volume of items, service level selected (Full-Service vs. Self-Supervised), and any associated logistical costs such as transportation or cataloging. Specific rates are discussed and agreed upon in your seller contract before any work begins — there are no hidden fees.

For a personalized quote, request a free valuation or contact our team directly.

Once the auction closes and buyers have collected their items, Cal Auctions processes seller payments along with a full itemized accounting statement showing each lot sold, the winning bid amount, applicable fees, and your net proceeds.

Payment is typically issued within a few weeks of the auction's conclusion. We believe in complete transparency — you'll know exactly what sold, what it sold for, and how your payment was calculated. No guesswork, no vague summaries.

Our initial consultation and valuation are provided at no charge. For most full-service engagements, fees are taken as a commission from final auction proceeds rather than billed upfront. Any costs associated with transportation, specialized cataloging, or other services are disclosed clearly in your seller agreement before work begins. We encourage all prospective sellers to ask questions during the consultation — there should be no surprises.

Logistics & Operations

Under our Full-Service model, Cal Auctions manages the entire process. Our experienced team handles:

  • Coordinating and executing item pickup or on-site cataloging
  • Professional photography and detailed item descriptions for every lot
  • Secure storage at our San Diego warehouse as needed
  • Organization and lot creation to optimize bidding activity
"They are always organized and efficient — I don't know how they manage to have everything ready for pickup!" — Recurring Buyer & Seller, Yelp

Under the Self-Supervised model, business clients handle their own inventory preparation on-site, while Cal Auctions manages the digital auction platform and marketing.

Cal Auctions conducts a complimentary preliminary valuation to give sellers a realistic sense of auction expectations. Our team draws on years of auction experience, current market conditions, and historical sales data to assess item value.

It's important to note that auction outcomes are determined by competitive bidding — meaning prices can exceed (or occasionally fall below) initial estimates based on buyer demand at the time of sale. For high-value individual items such as fine art, jewelry, or rare collectibles, we may recommend a formal third-party appraisal to establish a baseline. We'll advise you accordingly during the consultation process.

Effective marketing is what separates a good auction result from a great one. Cal Auctions promotes every auction through a multi-channel strategy that includes:

  • Email campaigns to a database of thousands of registered active buyers
  • Text/SMS alerts to subscribers who've opted in for auction notifications
  • Social media promotion across Facebook, Instagram, LinkedIn, Twitter/X, and YouTube
  • Online auction platforms that expand your items' visibility to a national bidder pool
  • Search engine visibility through our established calauctions.com web presence
  • Direct outreach to category-specific buyer segments for specialized inventory

Our goal is maximum bidder competition — because more bidders mean better prices for you.

Unsold items are a normal part of the auction process, particularly for highly specialized or niche categories. When items don't meet bidder interest, Cal Auctions will discuss the following options with you:

  • Re-listing in a subsequent auction, sometimes at an adjusted starting price
  • Bulk sale of remaining lots to a single buyer at a negotiated price
  • Seller retrieval of items that did not sell
  • Donation or disposal arrangements, depending on seller preference

Your seller agreement will outline the terms for unsold items so there are no surprises. We're committed to finding the best outcome for every piece of your inventory.

Contracts, Documentation & Compliance

Yes. All sellers enter into a straightforward seller agreement before any auction activity begins. This agreement covers commission rates, service scope, timelines, terms for unsold items, and payment procedures. We encourage you to review it carefully and ask any questions before signing. Transparency is a core value at Cal Auctions — you should feel fully informed and comfortable before we proceed.

Required documentation depends on the nature of the assets and the seller's situation. Common requirements include:

  • Proof of ownership or authorization to sell (particularly for business liquidations, estate sales, or bankruptcy proceedings)
  • Government-issued identification
  • Business documentation for commercial clients (such as business license or authorization letters)
  • Any relevant title documents for vehicles or high-value assets

Our team will walk you through exactly what's needed for your specific situation during the onboarding process. We are experienced in working alongside attorneys, trustees, and executors when legal authorization is required.
